Upcoming Event Submission

Flyer Submission:
Helpful Checklist and Guidelines

Updated Jan 15, 2024

Hello! Here you will find everything you need to know about submitting your event flyer for posting on the Hurst Stake’s media channels.

Content from the Hurst Stake aims to be uplifting, inclusive, clear and outward facing for friends and visitors. It’s used to show love, share, and invite others to participate and come closer to Christ in a non proselytizing way.

We strongly recommend advertising AT LEAST one month before an event and NO later than two weeks before. This gives time for your invitation to be announced on Sunday, circulate via social media and allows others the time to use your flyer to show love, share and invite friends!

Each organization or lead individual is strongly encouraged to create their own flyer/graphics (or find someone who can) for an announcement or event. If assistance is needed, please click here to learn about requesting design help.

Checklist

Check this list to ensure the information on your flyer is complete and ready to share.

MUST INCLUDE:

  • Title

  • Who’s invited? Be specific. (specify ages of those who are invited and do not use acronyms for any group.)

    • Are friends invited? Is it open to the community? Is the event for members only?

  • Purpose of activity / activity details—keep it brief.

  • Date (day of the week, month, numbered day, year.)

  • Time start and estimated time end

  • Location with address

    • The correct street address for the Stake Center is: 4401 NE Loop 820, North Richland Hills.

    • The correct way to refer to the Bransford Building is: Bransford Road Building. (Not Colleyville bldg.)

  • Who’s hosting PLUS the Church’s full name:

    • Example: “Hosted by the Hurst Stake of The Church of Jesus Christ of Latter-day Saints.”
This is so invited friends know who we are—that we’re a church.
DO NOT use, “The Church of Jesus Christ of Latter-day Saints,” by itself. This is because the Hurst Stake doesn’t officially represent The Church as a whole. (General Handbook 38.8.8) Please use a conservative font when writing out the Church name. (No balloon or drippy fonts for example.)

    • DO NOT use the Church wordmark or symbol in any form. (General Handbook 38.8.8)

  • A point of contact and their contact information for anyone with questions.

    • This person(s) permission must be given before their information can be made public.
(Additionally, a contact form on the website can be created upon request if the person does not want their contact information made public.)

OPTIONAL:

  • Stake Website URL and/or QR code: It’s always a good idea to add the stake website address, hursttexasstake.org, and/or QR code—especially if the invitation could be used to invite a friend.

  • Dress code when applicable.

    • Youth: Please do NOT include, “For the Strength of Youth Standards.” Our community friends don’t know what this means. Instead you could add something like, “Modest attire please.” Refrain from listing specific acceptable items of clothing.

IMPORTANT:

  • Refrain from using “church lingo” that only members will understand.

    • Example: Please use the word “congregation” instead of “ward”. (Church Communication Guide pg.15)

    • Do not use acronyms. For example: FSY, RS, YSA etc. Please spell them out. (Church Communication Guide 3.2.1 pg. 50)

Guidelines

CONTENT

  • Important: All material must meet church standards and policies. Any photographs or graphics included must meet legal copyright use and be properly licensed. Unless it’s clearly stated, or you’ve purchased the license, NEVER assume an image “Googled” on the internet is free to use.

  • Make the important information large enough to be legible on a smart device without having to zoom in.

RECOMMENDED ORIENTATION and DIMENSIONS

  • Vertical orientation—this works best for social media and viewing on smart devices.

  • 8x10 inches is best in case anyone might want to print the flyer, but smaller is fine. (Avoid overly elongated formatting— information will be cut off when it’s posted on social media.)

FILE TYPES ACCEPTED
Save and deliver files at the highest quality/largest file size possible.

  • PDF absolute best (Canva users: send the link with editing permissions to hurststakeweb.admn@gmail or download and email as a PDF print and don’t flatten)

  • PNG next best

  • JPG pretty good

SUBMISSION

  1. Submit your draft to the Website Administrator at hurststakeweb.admn@gmail.com, who will review it for any missing information, clarity, etc.

  2. Next, obtain approval from the organization presidency you’ve created the design for (or stake presidency where applicable) before submission. (The website administrator can assist with this if needed.)

  3. The approved material will then be posted to the Hurst Stake website and social media channels as well as ward Facebook pages. When applicable, the post can also include a link to print-ready files and a digital file to make it easy for everyone to love, share, and invite!

Note: Physical prints of the approved material are your, your organization or ward’s responsibility to produce and distribute.
